Units and service 2 min read

Manage your units

Find units quickly, see which ones need attention, update details, choose passport visibility and log services.

Every unit you register has its own page in InstallPass. This guide covers finding units, keeping their details up to date and logging services.

Find a unit

  1. Click Units in the sidebar.
  2. Use the search box to find a unit.
  3. Use the filters to narrow the list.

Status filters

  • Overdue: the next service date has passed.
  • Due soon: a service is coming up.
  • In warranty: the unit is still under warranty.
  • Expired: the warranty has ended.

You can also filter by category to see one type of unit at a time, such as geysers or inverters.

Tip: Check the Overdue and Due soon filters once a week and contact those customers. It's an easy way to find repeat work.

The unit page

Click a unit to open its page. You'll see its key dates, the unit and customer details, and the service history.

Edit details

  1. Click Edit.
  2. Update the details, for example a corrected serial number or a different service interval.
  3. Save your changes.

Keep the service interval and the next service date accurate. InstallPass uses them to send reminders. See Service and warranty reminders.

Passport visibility

Passport visibility controls how much the public passport shows. Choose one:

  • Full shows the unit details, including photos, documents and the property address.
  • Basic hides photos, documents and the property address.

Basic is a good choice for security installations, rental properties, or any customer who would rather not have their address on a page anyone can scan.

Customer contact details are never shown on a public passport, whichever option you choose.

Log service

Log every visit so the unit's history stays complete.

  1. Click Log service.
  2. Fill in the details of the visit.
  3. Save it.

When you log a routine service, InstallPass moves the next service date forward by the unit's service interval. The service also appears in the service history on the passport, so the homeowner can see it.

If you service a unit and don't log it, InstallPass still treats the service as due and may send reminders the customer doesn't need.

View passport

Click View passport to see the public page exactly as a homeowner sees it. It's a good way to check your changes. See What homeowners see.

Click Print tag to print a single tag for this unit, or to replace a damaged or lost one. If the unit doesn't have a tag, you'll see Add a tag instead. See Print a single tag and Replace a damaged or lost tag.

A simple weekly routine

  1. Open Units and filter by Overdue.
  2. Contact each customer and offer a service.
  3. Filter by Due soon and do the same.
  4. After each job, open the unit and click Log service.

Keep your records clean

  • Fix typing mistakes as soon as you notice them.
  • Add install notes that will help the next person on site.

The same story in every trade: a tag that stays on the unit is what brings the next job back to the person who fitted it, years after the invoice was paid.

Example
Three geysers I fitted in 2023 came back to me this winter instead of going to whoever was cheapest on Google. The tag was still on the pipe and they scanned it.

Example
The rating plate photo doing the typing is the part my guys actually use. Before this, half the job cards came back with the serial number missing.

Example
A customer phoned about a warranty claim from two years ago. I had the certificate of compliance and the install date on screen before she finished the sentence.
