Units and service 3 min read
Register a unit
Register a new installation in three steps: choose the tag, photograph the rating plate and add the unit and customer details.
Registering a unit creates its passport and links it to a tag. It takes a minute or two, and it's easiest to do on site while the unit and the customer are in front of you.
Open Register a unit in the app, or scan one of your available tags with Scan a tag to start with the code already filled in. Registration has three steps: Tag, Plate photo and Details.
Step 1: Tag
Choose the tag this unit will use. You can do this in four ways:
- Scan tag. Tap Scan tag to open your phone camera and point it at the QR. InstallPass reads the code for you.
- Type the code. Type the code printed under the QR, for example IP-7K4Q-92. The hyphens are optional.
- Pick an available tag. Choose one of your company's unused tags from Your available tags.
- No tag yet. Choose this if you don't have a tag with you. InstallPass creates a new code after you save the unit, so you can print it straight away.
Before you can continue, InstallPass checks the code. You'll see a message if:
- the code isn't found
- the tag belongs to another installer
- the tag is already in use
- the tag has been voided
If that happens, check the code for typing mistakes or choose a different tag.
Step 2: Plate photo
Take a photo of the unit's rating plate, the label that shows the make, model and serial number. InstallPass reads the brand, model, serial number and capacity from the photo.
For a good read:
- Wipe any dust or condensation off the plate.
- Fill the frame with the plate and hold your phone steady.
- Avoid glare from direct sun or a torch. Shade the plate with your hand if you need to.
Always check what InstallPass read. Plates can be dirty, worn or hard to photograph, so correct any value that's wrong or missing.
Step 3: Details
Fill in the details for the unit and the customer:
- Check the unit details.
- Enter the install date.
- Set the service interval. InstallPass uses it to work out when the next service is due and when to send reminders.
- Enter the installer warranty in months. This is the warranty you give on your work.
- Enter the manufacturer warranty in months.
- Enter the customer's name and mobile number. Both are required.
- Add the customer's email address if they're happy to share it.
- Add the address where the unit is installed.
- Add install notes, such as where the isolator is or anything the next technician should know.
Take care with the mobile number. Homeowners use it to find all their units at installpass.com/my-units. If the customer gives an email address and opts in, reminders go straight to them. If not, reminders come to your company email so you can follow up. See Service and warranty reminders.
Customer consent
Before you save, make sure the customer agrees to you storing their details in InstallPass and to receiving service reminders. Ask them while you're on site. See Customers and POPIA.
After you save
The success screen gives you these options:
- View passport opens the public passport, so you can check it or show the customer.
- Print tag appears when InstallPass created a new code because you chose No tag yet. Print it on a label printer or on an A4 sheet. See Print a single tag.
- Register another starts a new registration, which is useful when you've installed more than one unit on the same job.
Common problems
- The tag belongs to another installer. The tag was created for a different company. Use one of your own tags instead.
- The tag is already in use. It's linked to another unit. Scan it with Scan a tag to see which of your units it's on.
- The plate photo didn't read well. Correct the brand, model, serial number and capacity yourself.
Tip: Show the customer the passport on your phone before you leave, and point out where the tag is. That way they know to scan it when the unit needs attention.
