Set up your company

Fill in your company profile, service areas, booking mode and trades so homeowners see the right details and can book you.

Your company settings decide what homeowners see on your passports and how they can reach you. Every passport you create shows these details, so it's worth spending ten minutes on them before you tag your first unit.

Only owners can change company settings. If you're a technician, ask an owner in your company to make any changes for you.

Open your settings

  1. Click Settings in the sidebar.
  2. Work through the sections from top to bottom: Profile, Address and service areas, Booking and trades and Plan.

Settings also has a Team section for adding the people you work with. That's covered in Add your team.

Profile

Your profile is your business card on every passport.

  1. Check that your business name matches the name customers know you by.
  2. Check that your contact details are correct.
  3. Use a company email address that someone reads every day. InstallPass emails you about new booking requests, and some service reminders come to your company email too.

Address and service areas

Add your business address and the areas you work in. Keep your service areas realistic. It's better to list only the areas you're happy to travel to than to get requests you have to turn down.

Booking and trades

Choose a booking mode

Your booking mode decides what happens when a homeowner taps to book you from a passport. There are three options:

  • Request form (recommended). The homeowner fills in a short form. The request lands in Bookings in your app and you get an email.
  • WhatsApp. The homeowner contacts you on WhatsApp.
  • Phone call. The homeowner phones you.

To set it:

  1. Open Settings and go to Booking and trades.
  2. Choose Request form, WhatsApp or Phone call.
  3. If you chose WhatsApp or a phone call, check that the number homeowners will use is correct.
  4. Save your changes.

Why we recommend the request form

With the request form, every request is recorded in InstallPass. New requests show on Today and in Bookings, each one can be linked to the unit it came from, and you can track it from New to Completed. With WhatsApp or a phone call, the conversation happens on your phone, so you need to keep track of those jobs yourself. See Handle booking requests.

Trades

Select every trade you work in, such as plumbing, solar, electrical, gate motors, aircons, pools and boreholes, security or appliances. You chose your trades when you signed up, and you can change them here at any time.

Registration numbers

If your trade has a registration or licence number, add it in Settings. Registration numbers are shown to homeowners, which helps them trust that a qualified person did the work. For example, a plumber might add their PIRB registration number.

Plan

The Plan section shows which plan you're on and, during your free trial, the date your trial ends. See Free trial and plans.

Check how it looks

After you've saved your settings, check them the way a homeowner would:

  1. Open Units and click any unit.
  2. Click View passport.
  3. Check your business name, contact details and booking button.

If you haven't registered a unit yet, do this after your first one. See Register a unit.

Tip: Before you choose WhatsApp as your booking mode, think about who checks that phone. If requests could sit unanswered while you're on a job, the request form is safer because you also get an email.

What installers say about it

The same story in every trade: a tag that stays on the unit is what brings the next job back to the person who fitted it, years after the invoice was paid.

Example
Three geysers I fitted in 2023 came back to me this winter instead of going to whoever was cheapest on Google. The tag was still on the pipe and they scanned it.

Example
The rating plate photo doing the typing is the part my guys actually use. Before this, half the job cards came back with the serial number missing.

Example
A customer phoned about a warranty claim from two years ago. I had the certificate of compliance and the install date on screen before she finished the sentence.
